The flexibility to logically organize information makes Notion the perfect tool for project management. You can store information on multiple pages and quickly pull relevant data into a single page.
This capability finds many applications.
A marketing team, for example, could have separate databases for managing newsletters, blogs, videos, etc., on many different pages. But when the C-Suite wants to get an overview, they can quickly access a single database view with all channel databases linked to it.
This makes organizing data easy, and by using Notion Charts, you can present insights like a pro.
This guide will help you link separate Notion databases to set up a central database containing all the information relevant to a vast, multi-page project. We will demonstrate the creation of a linked database that displays multiple Notion databases in one view.
TL;DR
Here’s how to link Notion databases:
1. Create a new Notion page
2. Create a linked database view
3. Connect the default view with an existing database
4. Add another database to the view
5. Notion linked database is now ready with multiple databases in one view
Let’s get into the details.
1. Create a new Notion page or open an existing one
You need a central page to store the master database, which contains views from multiple databases. If you already have a Notion dashboard, you could link together all databases there.
But if you do not have a central hub, create one on a new Notion page.
For demonstration purposes, we created a new hub page. The image below shows what it looks like.
2. Link Notion databases
Create the central Notion database using the ‘Linked view of database’ block. Type ‘/linked’ and click on the only block option displayed by Notion.
This will create an empty database, and Notion will prompt you to connect it with an existing database or create a new one. Selecting either option creates the first view of the linked database.
3. Add the first database to the linked view
We selected the ‘Building good habits’ database from the list and here’s what it looks like on the page.
You can even select a different view of the linked database that is pulled from the original database source.
We selected the ‘Week 1’ view, and with that, we successfully added the first database to the linked view.
The tiny arrow next to the database icon indicates that it is a linked database, and not the original one.
Let’s add another.
4. Link another Notion database to the view
Click the ‘+’ icon next to the tab of the database currently in view.
This will open a menu bar, click ‘Empty view’ to insert the second blank database into the linked view.
This time, we want to insert our ‘Marketing campaigns’ database so we search for it using the Notion search bar and click on the appropriate search result.
5. Access multiple Notion databases in one view
Feel free to add filters and sort data in any database view, it won't impact the parent view unless you edit properties or data.
Limitations of linked Notion databases
The only major limitation of linking multiple databases in one view is that all edits to the linked version are reflected in the original database as well, except for the filters you apply.
This means, you can’t pick out databases and edit them as separate units.
