Notion is a powerful tool for anyone creating content. It offers many features that make content creation and sharing simple. Not only can you make your content public, but you can also share it with the world by creating a Notion website.
However, in some instances you might want to keep your content in Notion personal. For example, you would not want anyone to access your journals in Notion. Similarly, you might want to limit the accessibility of your team’s project boards to only your team members — and not to everyone in your teamspace.
In this article, we will show you how to change the privacy settings of your Notion pages and limit their visibility to a select audience.
There are two ways to make your Notion pages private. Let’s explore both of them.
Method 1: Change the Privacy Settings of the Page
To change the privacy settings of your Notion page:
1. Open the page and click on the “Share” button at the top right corner of your screen.
Clicking on the “Share” button pulls up a view where you can set the privacy settings. It also shows you the current status of the page and allows you to restrict or expand the access.
2. Click on “Publish” and then on the “Unpublish” button
If the page contains personal information and you want to restrict access, first click on the “Publish” option, as shown in the image below. Then, click on the “Unpublish” button.
This will make sure that the page is not accessible in the public domain. It’s only accessible to you now.
3. Invite people who should be able to access the page
Even if you work in an organization, you might want to ensure that your assets are accessible to only a few employees — those who are a part of your core team. Notion allows you to set accessibility at an individual level.
To do this, click on the “Share” button again and then select the “Invite only” option from the dropdown menu. This action will display another view, enabling you to:
1. Invite Only: Invite team members to access the page
2. Anyone with link in teamspace name: Allows everyone in the teamspace to access the page, provided they have the link. No one would be able to locate the file in the folder-subpage structure though.
3. Everyone in teamspace name: Anyone in the teamspace can access it, even from the folder-subfolder hierarchy in the left pane.
If you intend to share the page with specific team members, begin by typing the names of the people in your teamspace who should have access to the page in the text bar. Notion will provide name suggestions, and you can easily click on the names to add them to the list.
That’s it! Your Notion page is now private and can only be accessed by the individuals whose names you added to the list.
Method 2: Moving a Page to the Private Section
Another way to make a page private is by moving it into a Notion folder that is private by default.
To do that, you can simply drag and drop the page into a private folder by using the left-pane.
Alternatively, you can click on the “...” icon at the top-right corner of your screen and click on the “Move to” option at the top-right corner of your screen.
This action will prompt Notion to display a list of folders. From there, you can select the private folder of your choice to move the page into.
Irrespective of how you make the Notion page private, double-check if the process has gone through by clicking on the “Share” button again and ensuring that the settings are appropriate.
