It’s easy to lose sight of your content in Notion, especially if you are managing both personal and work related pages within the same workspace.
You start to feel the pressure when you really need to access a page but can't recall the right keywords. The search bar pulls up everything except the page you’re looking for.
One of the best ways to stay organized in Notion is to group related pages under a folder. That way, even if search fails, your search radius is much smaller. You can simply head to the relevant folder and sift through its subpages to find what you need.
Here’s how to group your Notion pages:
1. Create a Notion folder to group related pages
A Notion folder is essentially a master page that holds other pages. It also acts as a thematic anchor.
For example, you might create a “Budget” folder to house your expense tracker, investment records, income sources, and other finance-related documents. So next time you want to check how much tax you paid last year, you’ll know exactly where to look.
To create a new folder, click the + icon next to any existing page from the Notion sidebar.
Notion will open a new page. You can rename it, “Budget Tracker”, for example. You can also add a cover image to give it some personality.
2. Add Relevant Pages Inside the Folder
To create new subpages, type ‘/page’ and select the first option from the block menu.
In our example, we grouped three pages under the “Budget Tracker” folder:
- Income tracker
- Investment tracker
- Expense tracker
To move existing pages into a folder, just drag and drop them from the sidebar. Yes, it’s that simple!
If your sidebar is very long and dragging becomes cumbersome, first open the destination folder so it's visible. Then, drag the page into it directly from the sidebar.
3. Access grouped pages from the sidebar
Once grouped, your pages will appear nested under the main folder in the Notion sidebar.
4. Turn your grouped pages into a Notion website - Optional
